When should you book?

December weekends are the bottleneck of the event season. Sought-after Hamburg venues often hand out their December Fridays as early as summer — enquire in October and you'll usually search in vain for a good date. The rule of thumb: for a December Christmas party, the venue should be secured by September at the latest.

There are two relaxed alternatives. First, weekdays: a party on a Tuesday or Wednesday is often available and cheaper without dampening the mood. Second, the New Year or kick-off celebration in January — no time pressure, well-rested guests and a free choice of dates. For corporate events, January is an underrated insider tip.

The checklist: step by step

Once the framework is set, the rest falls into place in this order:

• Secure date & venue: first — everything else follows from it.
• Set guest numbers: including the plus-one question and a buffer for replies.
• Clarify budget per head: and check whether to use the €110 allowance (see the corporate party article).
• Choose the catering format: flying finger food, a festive buffet or a multi-course menu with live cooking.
• Plan drinks: aperitif, wine/beer selection, non-alcoholic options, perhaps a cocktail bar.
• Programme & schedule: welcome, speech, dinner, music/DJ — with room for open socialising.
• Communicate travel & parking: send address, parking and public transport to the team in good time.
• Decoration & details: seating plan, name cards, a small parting gift.

How expensive a Christmas party becomes is decided by a few variables: guest numbers, the scope of catering, the choice of drinks, the duration and the programme. A festive menu with wine pairing costs more than a flying buffet, an open bar more than a drinks allowance.
